Refunds and cancellations
You can refund any golfer, in full or in part, from your roster. If you cancel the event, every card registration and card-paid sponsorship is refunded in full automatically.
Refund a golfer
- Open People, then Roster.
- On the golfer's row, tap the More actions button (the three dots) and choose Refund.
- Enter the amount. It starts at what they paid, and you can't refund more than that.
- Add a note for the refund log if you like, then confirm with Refund.
Where the money goes
On a card event the money goes back to the card the golfer paid with, and their bank usually shows it within 5 to 10 business days. On a cash event, the refund is logged and you hand the cash back yourself. Refunds can't be undone automatically, and partial refunds can't add up to more than the golfer paid.
What happens to the Perch fee
Whenever a registration is refunded, Perch's registration fee is refunded with it, in proportion to the refund: all of it on a full refund, half of it on a half refund. Stripe doesn't return its card processing fees, so those stay with you.
Set an automatic refund rule
On a paid event you can let golfers who cancel get their money back on their own. Golfers who cancel before your cutoff get a full refund; after it, they get the percent you set, and 0 means no refund. Leave the hours blank for no automatic refunds.
- On the event page, tap the gear to open Setup & settings.
- Under Refund rule, enter Full refund until (hours before tee), for example 48.
- Enter After that, refund (%), or leave it at 0.
- Tap Save refund rule. Golfers see the rule on the event page.
When a golfer cancels
Golfers cancel with Cancel RSVP on the event page. If you set a refund rule, golfers see it on the event page under Cancellation / refund policy, and the refund it allows goes back to their card on its own. Add-ons you marked non-refundable aren't included. With no rule, nothing is refunded automatically, so refund them by hand from the roster.
To spell out your own terms, use Cancellation policy (optional) in the event builder's Advanced step. Golfers see it on the event page.
Cancel the event
- On the event page, tap the gear to open Setup & settings.
- In the Danger zone, tap Cancel event. Only the event's owner sees the Danger zone.
- On a card event, confirm with Cancel + refund all.
What cancelling does
Registered players are notified, and every registration paid by card is refunded in full, including add-ons bought with it and Perch's fee. Sponsorships paid by card are refunded in full too. Cancelling from the status menu, or with an Event cancelled urgent notice in Comms, refunds the same way. Donations made on their own and auction wins are not refunded automatically. A cancelled event can't be reopened.
Rained out? Postpone instead
If you still plan to play, open Play, then Weather day. For each round you can Shorten it, Push tee times, or Postpone it to a New day, and on a multi-round event, Cancel round. A postponed round keeps its registrations, pairings and groups, and nobody is refunded. Tick Tell the players to send the whole field an urgent notice.
Your first event on The Perch is free.
